Full time and part time available. Harmless operate a 4-day working model with full time staff working 32 hours per week.
Salary
£22,308 per annum, pro rata, rising to £23,260 per annum, pro rata, on successful completion of a probationary period.
Job Description

MAIN PURPOSE AND SCOPE OF THE JOB

  • Training sales and income generated by the Harmless Academy help fund our vital support services and it is a fundamental objective of the training operation to ensure this continues. The successful candidate will be part of a dedicated team who are committed to our organisational ambition to become a fully self-funded organisation across all services. You will be expected to proactively and assertively help us achieve this objective. 

  • In addition, our team work passionately to ensure we have a positive influence in the field of mental health, self harm and suicide prevention by challenging stigma, raising awareness and ensuring we increase the confidence, skills and knowledge of those who support others.  At the heart of our service is that hope and recovery is possible, and that with the right support and help life can get better. You will be part of an organisation and team that adheres and upholds to this ethos in all aspects of the operation.


DUTIES AND KEY RESPONSIBILITES 
  • Complete a wide range of administrative duties that support the function of the Harmless training team
  • Proactively support the training team both pre and post training delivery in order to offer our delegates the best possible experience
  • Maintain and build relationships with delegates and/or organisations with a view to secure future training opportunities
  • Perform administrative duties and offer administrative support to the Harmless Academy team as required.
  • Proactively support the training operation to meet key targets including (but not limited to): 
    • Contractual obligations 
    • Attendance targets  
    • Delivery targets 
    • Performance Targets 
    • Financial Targets
  • Be an integral part of internal training booking processes; ensuring delegates and/organisations are supported during all stages of the training experience 
  • Promote training opportunities widely by proactively communicating opportunities to key target audiences via a range of platforms (e.g. social media, blogs, website, mail outs)
  • Liaise with partner organisations/key stakeholders to promote training opportunities, and ensure they have timely information about our service(s)
  • Maintaining training and delegate records and systems
  • Answering incoming calls and recording any enquiries sensitively, discretely and accurately.
  • Responding to phone messages promptly when required
  • Responding to emails promptly when required
  • Disseminating messages to team members efficiently and promptly
  • To work collaboratively within the Harmless team
  • Speaking directly to delegates and/or organisation to discuss training opportunities and/or efficiently and accurately respond to training enquiries or queries 
  • Process online resources orders promptly 
  • To support evaluation of Harmless and its associated project through comprehensive data collection
  • Collect, compile and report results of evaluation, attendance, and all other training data.
  • To support the training team to ensure that they are prepared for training delivery 
  • To support the training team to ensure that any post-delivery requirements are upheld e.g. process evaluation forms
  • Report to Harmless management regularly about the progress of training and address any issues that may arise, recording relevant statistics where required.
  • Promote the work of Harmless in a positive manner and recommend resources and alternative training opportunities where possible.
  • To follow established policies and procedures
  • To carry out any other administrative duties/tasks as may be reasonably required.

  • Clear and concise written and spoken communication skills (Essential)

  • Ability to communicate promptly and efficiently across the Harmless team (Essential)
  • Setting up and maintaining records and filing system (Essential)

  • Ability to work independently, with a good use of initiative and also be able to work collaboratively and openly within a team (Essential)
  • Ability to communicate with vulnerable clients discreetly and sensitively whilst demonstrating excellent listening skills (Essential)
  • Ability to ‘think outside the box’ and respond flexibly and efficiently to organisational needs (Essential)
  • An ability to proactively communicate and promote training information widely to key stakeholders using a variety of platforms (Essential)

Knowledge/Experience

  • A knowledge of office procedures (Essential)
  • Must be competent using Microsoft (Essential)
  • Basic knowledge of using office equipment including photocopier and printer (Essential)
  • Sound knowledge of and the use of Plain English both written and oral (Essential)
  • An understanding of counselling or healthcare services preferred (Desired)
  • An understanding of the field of mental health, self-harm and suicide preferred (Desired) 
  • An understanding of reception and customer service work preferred (Desired)
  • A basic knowledge of the broader mental health or healthcare system (Desired)
  • Previous experience in sales and working in an office environment would be beneficial (Desired)
  • Previous experience of undertaking marketing campaigns (Desired) 
  • Experience of working within a Third Sector organisation (Desired)
